Privacy Policy
This policy explains what personal information Sound BI, LLC ("Sound BI", "we", "us") collects and how we use it in Sound BI Audit Market at app.soundbi.com (the "Service"). Our website, soundbi.com, has its own privacy policy.
Information about you as a user
- Account: your work email address, your name if you give it, the firm we link you to, your role at that firm (administrator or member), and when you signed in.
- Sign-in: one-time codes we email you, kept only until they are used or expire. Staff accounts also store the authenticator app set up for two-step sign-in.
- Billing: your firm's plan, subscription status and Stripe customer reference. Stripe collects and holds the billing name, address and card details; we do not receive or store card numbers.
- Usage and security records: our servers record requests to the Service, including the pages requested, the time, your IP address and browser details, to run, secure and troubleshoot the Service. These records are kept for 30 days.
- Cookies: the Service uses only the cookies it needs to keep you signed in and to protect forms against forgery. It does not use advertising or cross-site tracking cookies, and it does not load third-party analytics.
- Messages you send us: what you write when you email us for support or corrections.
Public records in the Service
The Service is built from public records, mainly single audit filings in the Federal Audit Clearinghouse and other public government sources. These describe organizations and audit firms, and some include the names of individuals as filed, such as the auditor who signed an audit. We show those names as they appear in the public record. For auditor contact email addresses in filings we keep only the email domain, to identify firms, not the full address. If you believe information about you is wrong, or you want us to stop showing your name, email aaron@soundbi.com and we will review the request.
How we use information
- to provide the Service: signing you in, linking you to your firm by email domain, and showing your firm's information;
- to send you sign-in codes, service notices, billing messages and alerts about changes involving your firm, such as an audit client moving between firms;
- to process subscriptions and payments, and to keep records required for accounting and tax;
- to keep the Service secure, prevent misuse, fix problems and improve it;
- to respond to your requests and to meet legal obligations.
We do not sell personal information, and we do not use it for advertising.
Who we share it with
- Service providers that process it for us under contract, only to run the Service: Microsoft (Azure hosting, database and storage, email delivery and monitoring), Stripe (payments and billing) and Cloudflare (domain name service).
- Your firm: other verified users at your firm can see who your firm's administrator is.
- When required: to comply with law or legal process, to protect the rights and safety of Sound BI, our users or others, or as part of a sale or reorganization of our business, under terms that protect it as this policy does.
How long we keep it
We keep account information while your account is active and for up to 12 months after it closes, unless you ask us to delete it sooner. Usage and security records are kept for 30 days. Billing records are kept as long as accounting and tax law require.
Your choices and rights
You can ask us to give you a copy of, correct or delete your personal information, or to stop sending you alert emails, by writing to aaron@soundbi.com. We will respond within 30 days. Deleting your account ends your access to the Service. Depending on where you live, you may have further rights under local law, and we will honor them.
Security
Information is stored in access-controlled cloud infrastructure, encrypted in transit and at rest. Staff access requires two-step sign-in. No system is perfectly secure, and we will tell affected users and authorities about a breach as the law requires.
Children
The Service is for professionals and is not directed to children under 16. We do not knowingly collect their information.
Changes
We may update this policy. We will post the new version here and, for a material change, email account holders before it takes effect.
